Choosing the Right AI Tool

Plain English: The best AI tool is the one that fits your task, not the one with the most buzz. Most generalists don’t need to master every tool — they need a clear way to decide which one to reach for.

There are more AI tools than anyone can keep track of. But for most generalist work, the choices that matter fall into a few categories:

General-purpose chat models. Claude, ChatGPT, and Gemini are the big three. They handle writing, analysis, brainstorming, coding, and document processing. They’re broadly comparable in capability — the differences are real but matter less than how you prompt them.

Search-first tools. Perplexity and similar tools combine AI generation with live web search. They’re better for research questions where you need current, cited information rather than creative or analytical output.

Built-in AI features. Copilot in Microsoft 365, AI in Google Workspace, Notion AI, and similar embedded tools. These work within apps you already use and have access to your existing data — making them useful for tasks that involve your own documents, emails, or spreadsheets.

Specialised tools. Image generators (Midjourney, DALL-E), coding assistants (GitHub Copilot, Cursor), transcription tools (Otter, Whisper), and dozens of domain-specific AI products. These do one thing well.

Instead of comparing feature lists, ask these questions:

If you’re working with confidential or personal data, your options narrow. Enterprise tiers of major tools offer data protection guarantees. Consumer/free tiers often don’t. For factual research, you want tools with search integration and source citation. For brainstorming, drafting, or creative work, you want tools with strong generation capabilities and the ability to steer tone and style. These aren’t always the same tool.

If you need to work with long documents or maintain context across a complex project, context window size matters. Claude and Gemini currently offer the largest context windows. But for a quick question, any tool will do. See Tokenization & Context Windows for the specifics.

People spend a lot of time debating whether Claude or ChatGPT is “better.” The honest answer: for most generalist tasks, the differences are smaller than the difference between a good prompt and a bad one.

That said, there are real distinctions:

  • Claude tends to be strong at nuanced writing, following detailed instructions, and handling long documents. It’s more likely to push back on ambiguous requests.
  • ChatGPT has the broadest plugin and integration ecosystem. Its code execution and image generation are tightly integrated.
  • Gemini has deep integration with Google’s ecosystem and a very large context window. It’s strong at tasks that involve Google Workspace data.

These characterisations are approximate and shift with every model update. The point isn’t to memorise them — it’s to recognise that trying different tools for different tasks is a better strategy than picking one and using it for everything.

Using one tool for everything. Each tool has strengths. Using ChatGPT for a research task that needs citations, when Perplexity would give you sourced answers, is choosing convenience over quality.

Chasing the newest model. A new model release doesn’t mean your workflow needs to change. Unless a new capability directly addresses a limitation you’ve hit, stay with what works.

Ignoring built-in AI. If your organisation already pays for Microsoft 365 or Google Workspace with AI features, those tools already have access to your data and your organisation’s security controls. Starting there is often more practical than signing up for a separate service.

Confusing the model with the interface. The same underlying model can behave differently in different interfaces. Claude in the web app, Claude through an API, and Claude embedded in a third-party tool may have different defaults, context limits, and capabilities. The model is one piece — the product around it matters too.

You don’t need to be an expert in any one tool. What generalists do well is recognise patterns across tools and contexts — knowing when to switch, when to combine, and when a tool isn’t the right solution at all.
